Privacy Policy — Window Seat Award Travel
Effective date: [EFFECTIVE DATE]
I'm the person behind Window Seat Award Travel ("Window Seat"). I plan award trips using points, miles, and a modest cash budget for taxes and fees. To do that well, I need some information from you. This page explains, in plain language, what I collect, why I collect it, how I protect it, and how you can see it or have it deleted.
I run this as a solo expert. When this page says "I," it means me, the one person handling your trip. There is no team and no automated system making decisions about you.
What I collect
When you fill out my intake form or talk with me directly, I may collect:
- Your name and email address
- Your phone number (optional)
- Origin and destination airports
- Your travel dates and how flexible they are
- Number of passengers, and the ages of any children if that affects the booking
- Preferred cabin class (economy, premium, business, first)
- Your points and miles balances, listed by program (for example, airline and credit card programs)
- Your cash budget for taxes and fees
- Any elite status you hold
- Your preferences and non-negotiables for the trip
- Hotel needs, if you want help with lodging
- How you heard about the service
I only ask for what I need to find and book the right trip for you. If something is optional, you can skip it.
How I use your information
I use your information for two things, and only these two things:
1. To research and deliver your trip. Your airports, dates, balances, budget, and preferences are the raw material I use to search for award space and put together your itinerary.
2. To contact you about your trip. I'll use your email or phone to ask questions, share options, confirm details, and send you the finished plan.
That's it. I don't use your information to build marketing profiles, and I don't make automated decisions about you.
Payments
Payments are handled by Whop (whop.com), not by me directly, and not through Stripe.
- The $75 deposit is collected through a Whop checkout when you start. It pays for the search and is credited toward your tier fee when I deliver viable options.
- The remaining tier fee is charged through Whop after I deliver your trip.
Because Whop processes the payment, I never see or store your full card details. Whop handles the card data on their systems under their own privacy and security practices. I'd encourage you to review Whop's privacy policy as well, since they're the ones holding the payment information.
(How the deposit and tier fee work, including when the deposit is and isn't credited, is covered in my Terms. This section is only about how your payment information is handled.)
I do not sell or rent your data
I do not sell, rent, or trade your personal information to anyone. Your details are not a product. I share information only with the service providers listed below, and only as needed to do the work you've hired me for.
Your points and trip details stay confidential
Your points and miles balances, your travel plans, and the rest of your trip details are kept confidential. I treat them the way I'd want my own travel information treated: shared only when necessary to book your trip, and never offered up to anyone who doesn't need it.
Third parties I rely on
To run this service, I use a small set of trusted tools. Here's who they are and why:
- Whop — payment processing (the deposit and the tier fee). whop.com
- Tally — the intake form you fill out, which is where most of your information first comes in.
- Google — documents and email (for example, Google Docs and Gmail/Google Workspace), used to organize your trip and to communicate with you.
- Award-search tools — services I use to look up award availability and fares. When I search, I generally use your routing and dates; I do not hand over your full personal profile.
Each of these companies has its own privacy policy and security practices. I choose reputable providers, but I don't control how they operate their own systems.
Cookies and analytics
[PLACEHOLDER — describe any cookies or analytics used on the website here, for example basic site analytics or form tools that set cookies. If no analytics or cookies are used, state that plainly. Have a lawyer confirm what disclosures and consent banners, if any, you need.]
How long I keep your information, and deleting it
I keep your information for as long as I need it to plan and deliver your trip, and for a reasonable period afterward in case you come back for a related booking or have follow-up questions.
If you'd like me to delete your information sooner, just ask. You can request deletion at any time. Once I confirm there's nothing still open on your trip, I'll delete the personal information I'm holding, except for anything I'm required to keep for legal, tax, or accounting reasons (for example, payment records connected to Whop).
How to see your data or have it deleted
If you want to know what information I have about you, get a copy of it, correct it, or have it deleted, contact me:
- Email: [CONTACT EMAIL]
- Location: [BUSINESS LOCATION]
I'll respond within a reasonable time and do my best to honor your request promptly.
Changes to this policy
If I update how I handle your information, I'll revise this page and update the effective date at the top. The version posted here is always the one that applies.
